Personal/Team Assistant - Product & Marketing

Russell manages approximately $248 billion in assets in a variety of multi-manager funds.

This global leader is currently seeking a Personal/Team Assistant to provide PA support to the heads of the Marketing department and the Product department, as well as support to the Marketing Team and Product Team.

Key Responsibilities:

  • Provide full secretarial/administrative support to the Director of Product and the Director of Marketing such as:
    • Diary management, scheduling meetings, screening calls, filtering incoming communications,
    • Composing general business correspondence, word processing of agendas, meeting minutes, PowerPoint presentations etc
    • Monthly personal expenses reporting
    • Organising ad hoc events as they arise

  • Supporting the Marketing Team by:
    • Overseeing the production of routine promotional printed materials, organising the distribution of marketing literature, organising compliances sign-off of marketing materials,
    • Collating press clippings, creating monthly PR Report, weekly liaison with PR firm to confirm priorities
    • Assisting the Events Marketing Co-ordinator with client functions/events /conferences
    • Keeping materials organised electronically/hard copy
    • Assist in follow up and compliance sign off procedures
    • Assist in the verification and due diligence of new offer documents,
    • Provide assistance in the maintenance and planning of offer document issues, take responsibility for data inputs into new product disclosure statements, assist with lodgment of offer documents with ASIC
    • Provide general support to the team as required

  • Supporting the Product Team by:
    • Keeping materials organised electronically/hard copy
    • Assist in follow up and compliance sign off procedures
    • Assist in the verification and due diligence of new offer documents,
    • Provide assistance in the maintenance and planning of offer document issues, take responsibility for data inputs into new product disclosure statements, assist with lodgment of offer documents with ASIC,
    • Provide general support to the team as required

  • Managing Travel Arrangements by:
    • Making travel arrangements and prepare itineraries for domestic and international travel for the Directors and other staff as needed
    • Checking travel agents itineraries and ensure that schedules and details are both accurate and practical
    • Bringing together materials required for business trips for Directors

  • Organising Marketing & Product Meetings
    • Co-ordination of work in progress meetings – booking meetings, logging the meetings, and sending out agendas, compiling meeting preparation material

Skills/Attributes Required:

  • Ability to work without close supervision
  • Strong organisation abilities, including keeping self and others organised
  • Outstanding attention to detail; only needs to be asked once
  • Team-oriented approach, with ability to interact with others to solve problems and/or improve processes. Ability to work collaboratively within and across teams.
  • Strong skills in software applications (Word, PowerPoint, Excel, SalesLogix)
  • Confidence working with numbers and learning/using spreadsheet applications and similar software
  • Ability to work under pressure and effectively adapt to changing priorities and deadlines
  • Flexibility; ability to work through peaks and troughs
  • Very strong communication skills and appropriate with external/internal clients and colleagues
  • High level of professionalism - confidentiality, discretion, judgment.
  • Ability to compose basic written business correspondence

This would suit a self-starter with 3 years secretarial skills in secretarial/administration position in a strong corporate culture and funds management/unit trust administration knowledge. Experience in supporting multiple senior people within an organization, and experience working in a highly professional, fast-paced corporate team environment is a must.
